Our Impact Measurement Tool Privacy Notice explains how we collect, use, and protect your data.

UnLtd ('we', 'us'), the Foundation for Social Entrepreneurs, finds funds and supports social entrepreneurs to start their business or grow their impact.

An Impact Measurement Tool has been designed to assist social entrepreneurs capture and report on their social impact. The tool is particularly focused on early-stage UnLtd awardees engaged in sport and physical activity, aiming to measure a range of outcome indicators such as general health, self-efficacy, social connectedness, and overall wellbeing.

As part of this we will be processing the personal data of Entrepreneurs as well as beneficiaries.

Defining Personal data

Under the UK ('UK GDPR') and Data Protection Act 2018, personal data is defined as 'any information relating to an identified or identifiable natural person ('data subject'), by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person'. This means that any information which can identify you will be personal data – this may be a name and email address for example.

Defining Data Controller

A data controller is the organisation who controls, makes decisions on, and is responsible for keeping personal data in paper or electronic files secure. UnLtd is the data controller as defined by relevant data protection laws.

The information we collect and how we use it

If you are an entrepreneur

We will require your personal data in order to contact you and for you to engage with the platforms we will be using for the Impact Measurement Tool. This will include your name, address, contact details.

If you exchange emails, telephone conversations or other electronic communications with our staff members, our systems will record details of those conversations, sometimes including their content.

When you contact us, we sometimes need to keep a record of the communication we have with you to operate, manage and develop our organisation.

If you are a someone supported by a social entrepreneur/venture

Entrepreneurs will engage with you and will ask for feedback. This will involve the processing of some of your personal data including your name and contact details.

The processing is necessary for the performance of a contract you have with UnLtd which includes any steps taken before entering into a contract.

People served by social entrepreneurs/venturesWe are relying on legitimate interests for the processing of your personal data. This will be for the processing of your feedback about how the programme was for you. The social entrepreneurs will not be able to access your personal data but will receive feedback which does not identify you. We have done a Legitimate Interest Assessment to make sure that your personal data is protected and that we respect your privacy.

In some cases we may need to process information about you which is sensitive. This could include ethnicity for example. For this we will rely on Article 9(2)(d) which means that we can process this type of personal data as we are a charity and this feedback is part of our legitimate activities as we are funding social entrepreneurs to work with you.

Your rights

You have some rights in relation to your personal data which are:

  • The right of access (to receive a copy of any of your personal data).
  • The right to rectification (to correct any personal data which is wrong).
  • The right to erasure or right to be forgotten.(to erase any of your personal data)
  • The right to restriction of processing.(to stop us processing your personal data)
  • The right to be informed. (to be told how we process your personal data). This Notice is how we do this.
  • The right to data portability (to transfer your personal data to another organisation).
  • The right to object (to stop us from processing your personal data)
  • The right not to be subject to a decision based solely on automated processing (to stop us from using automated decision making). We do not use automated decision making and so this right is not needed for this processing.

Sharing your personal data

We may need to share your personal data with other organisations. This would only happen if we have to (by law) or to protect you.

Locations of Processing

The personal data that we collect from you will be processed in UK data centres.

Data Processors

We contract with processors to provide the platforms on which we operate for the Impact Measurement tool. Any personal data shared with a data processor for this purpose will be governed by appropriate safeguards and contracts under data protection law. This will include Google as we will be using Google Forms, Google Sheets and Looker.

Security of your information

To help protect your personal data we maintain physical, technical and administrative safeguards. We update and test our security technology on an ongoing basis. We restrict access to your personal data to only those who need to know which includes UnLtd staff. Entrepreneurs and their staff will only have access to information which does not identify beneficiaries. We train anyone with access about the importance of confidentiality and maintaining the privacy and security of your information. We commit to taking appropriate disciplinary measures to enforce our employees' privacy responsibilities.

How long we store your personal data for

We store your personal data for only as long as we need it. After that period we will either anonymise it (so you cannot be identified) or delete it in accordance with our data retention policy.

In addition, some of the data we hold may be subject to certain legal and regulatory obligations, which provide a minimum retention period for different types of data. The retention period varies depending on the data we hold.

Changes to this privacy notice

This privacy notice was created in July 2024. UnLtd reserves the right to vary this privacy notice from time to time and such variations become effective on posting on this website.

If we can’t resolve your complaint then you can complain to the Information Commissioner’s Office (ICO) who is the supervisory authority in the UK. For further information on your rights and how to complain to the ICO, please refer to the ICO concerns page on the website.
